4. Lawful Bases for Processing

We only use personal information where we have an appropriate lawful basis.

Depending on the purpose, we may rely on:

Contract

Where processing is necessary to take steps at your request before entering into a booking or to provide a treatment or service you have requested.

Legal Obligation

Where we need to keep, use or disclose information in order to comply with applicable legal, regulatory or professional requirements.

Legitimate Interests

Where we have a genuine and reasonable business need to process information and your rights and interests do not override those interests.

Consent

Where you have specifically agreed to a particular use of your information, such as the use of photographs or videos for marketing.

Where health or other special category information is processed, an appropriate lawful basis under UK GDPR and an additional special-category condition will also be identified where required.

5. Photographs and Treatment Records

Before-and-after photographs and/or video recordings may be taken where appropriate for your confidential treatment record, treatment planning, documentation, monitoring or follow-up.

Photographs or videos taken for your clinical treatment record will not automatically be used for advertising, social media or other marketing purposes.

Where Aesthé Jemini wishes to use identifiable photographs or videos for marketing, promotional or portfolio purposes, separate consent will be requested. This may include use on social media, the Aesthé Jemini website, Google Business Profile, digital advertising, printed promotional materials or professional portfolio content, depending on the permissions you provide.

Marketing consent is voluntary and separate from your consent to receive treatment. You may agree to some uses and decline others.

Where processing is based on consent, you may withdraw that consent for future use at any time by contacting hello@aesthejemini.co.uk. Withdrawal will not affect any processing that took place lawfully before consent was withdrawn.

Following withdrawal, Aesthé Jemini will stop using the relevant content for new marketing purposes and will take reasonable steps to remove it from channels under our control where appropriate. Content already shared, downloaded or reproduced by third parties may not always be capable of complete removal.

Photographs and videos will be stored securely and retained only for as long as necessary for the purpose for which they were collected, in accordance with Aesthé Jemini’s data-retention practices.

6. How We Store and Protect Your Information

We take reasonable technical and organisational measures to protect your personal information against accidental loss, unauthorised access, disclosure, alteration or misuse.

Personal information may be stored using password-protected systems, secure digital platforms and trusted service providers used for website hosting, booking, client records, communication, payment processing and business administration.

Access to client information is limited to those who require it for legitimate business, treatment, professional or legal purposes.

7. Sharing Your Information

We do not sell, rent or trade your personal information.

Where necessary, information may be shared with trusted third parties that help us provide or administer our services, including:

  • Website and hosting providers
  • Booking and client-management systems
  • Payment providers
  • Professional insurers or advisers
  • IT or administrative service providers
  • Regulators, authorities or other organisations where disclosure is required by law or professional obligation

Only information reasonably necessary for the relevant purpose will be shared.

Where a service provider processes personal information outside the United Kingdom, appropriate safeguards will be used where required by applicable data protection law. The ICO expects privacy notices to explain relevant sharing and international transfers.

8. How Long We Keep Your Information

Treatment records and relevant client information are generally retained for 7–10 years after your last treatment, in line with professional, insurance and record-keeping requirements.

Other personal information, such as general enquiries, contact-form submissions or administrative correspondence, will only be retained for as long as reasonably necessary for the purpose for which it was collected.

Different categories of information may therefore be kept for different periods.

When personal information is no longer required, it will be securely deleted, destroyed or anonymised where appropriate.
